The Event-Planning Process

If your student group is selected to work with GEC, we assign you a team of consultants (hereon referred to as a "project team"). This project team will guide you throughout the entire event-planning process, focusing on improving the following areas of your event: advertising, purchasing, food, and waste disposal. 

Your project team will meet with you regularly and help pace your event-planning so that all four areas are addressed and appropriate improvements are made. Consultants will communicate with you and conduct research in order to find sustainable alternatives to suit your original event plans and ideas. In addition to offering advice, consultants will help put your group in touch with campus and off-campus resources as well as sustainable options like organic food caterers.  

GEC will offer funding to cover the additional cost of hosting a sustainable event and of implementing our recommendations. Your assigned project team also will attend your event to ensure everything runs smoothly and to provide support.

Apply to Work with GEC 

Due to the large number of events occurring on campus as well as our limited resources, GEC seeks to offer full consulting services to large-budget and high-impact events.  

GEC selects student groups to partner with based on the following criteria: 
  • Event visibility and size (attendance of 50+ people)
  • Potential for improvement and material impact in multiple areas  
  • Demonstrated interest in event sustainability issues and willingness to improve in that aspect of event planning 
  • Potential for event improvement

Applications are open all year round, and there is no deadline. However, you must apply at least two months before your actual event so that our consultants have enough time to offer recommendations if you are selected for our program. Also, please keep in mind that GEC will have more funding available, as well as consultant teams and resources, earlier in the academic year than later.

In the past, all VSOs hosting winter quarter and spring quarter events have applied to work with us in late fall of the academic year.
